22 chapters64 detailed instructionsPhone and computer

Four concepts to get you started

Field
The plot you link to its crop, area and history.
Cycle
The growing season that groups fields and records.
Activity
A task, purchase, expense or sale, with a date and details.
Note
An observation or piece of information. It can include a reminder.
01

Your first steps

Set up your farm first, then record your daily work. This connects every task, amount and observation to the right field and growing cycle.

Mobile & web

Sign up, verify your email and sign in

  1. Open FarmerPad on your phone or the web app and select Sign up. Enter the details requested by the form, such as your name, username, email and password.
  2. Use an email address you can access. Open the verification email and follow the link. If you cannot find it, check your spam folder and request another email from the verification screen.
  3. Sign in with your details. If you choose Google or Apple, use the same option and the same account on every device to see the same data.
  4. To access FarmerPad from a computer, open its /app/ page. You can read this guide without signing in.
On mobile

Set up your farm for the first time

  1. Choose English or Greek. Set your preferred area unit: stremma, hectares or acres. Also choose the currency to display.
  2. Add your fields with clear names, such as ‘North olive grove’ and ‘Lower field’. Enter their area, crop and variety where you know them.
  3. Create a growing cycle and assign the relevant fields to it. Check that the cycle you want is active.
  4. Optionally, add your workers and the products you already have in storage. Return to Home and create your first activity using +.
EXAMPLE
Two olive groves, measuring 10 and 20 stremma, are assigned to the ‘Olives 2026–2027’ cycle.

What to check: For your next entries, select the appropriate grove and check the cycle so the history and finances refer to the right period.

Mobile & web

On mobile, the main tabs are Home, Activities, Resources, Statistics and the AI assistant. Resources brings together fields, workers and inventory. The profile icon is on Home.

The + button opens the creation menu: Activity, Debt repayment, Reminder and Note. First choose what you want to record, then type or dictate the content.

On the web, use the sidebar for Overview, Activities, Fields, Workers, Inventory, Weather, Growing cycles and Statistics. On a small screen, open the menu using the button in the top bar.

Overview on your computer

Overview shows the active cycle, fields and area, today’s activities, the financial balance, debts, weather and recent records. The 12-month activity summary covers a different period from today’s activities.

Open a recent activity or reminder to see its details. Use Refresh in the top bar to load the latest changes from your phone.

03

Fields, maps and KAEK

A field connects its crop, area, activities, expenses and local weather. Giving it a precise name also helps speech recognition.

FarmerPad field list in English
Fields · sample list of plots
On mobile

Add a field and its details

  1. Open Resources → Fields and tap Add field. Give it a unique, recognisable name.
  2. Under Crop, select the crop type and variety. For tree crops, optionally enter the number of trees and planting year.
  3. Set the area in your selected unit or draw the boundaries on the map. Check the unit next to the input before entering the number.
  4. Save and, when cycle assignment appears, select the appropriate cycle. You can also assign it later in cycle management.
EXAMPLE
Name: North olive grove. Crop: Olive. Variety: Koroneiki. Area: 10 stremma. Trees: 200.

What to check: The field becomes available when choosing fields for activities, notes and cycles. Its area is also used to split shared expenses.

Mobile & web

Draw boundaries on the map

  1. Open field creation on mobile or edit an existing field. Expand the map section.
  2. Search for a village, road or nearby landmark. Move and zoom the map until you find the plot. Your device’s location can help you find it, but does not define its boundaries.
  3. Enable drawing and place at least three points around the perimeter. Follow the boundary in order so the sides do not cross.
  4. Use Undo to remove the last incorrect point or Clear to start again. Pause drawing when you need to move the map.
  5. Check the outline and calculated area, then save the field. On a small screen, you can open the map in full screen.
On mobile

Find a plot using its KAEK

  1. In the field’s basic details, enter its 12-digit KAEK, the Greek cadastral parcel identifier, and tap Find by KAEK.
  2. Wait for the search and check the result on the map. If details are found, the form may fill in the boundaries and area.
  3. Confirm it is the correct plot. Enter its name, crop and any missing details separately, then save.
Mobile & web

Field history, changes and deletion

  1. Search for the field by name and open its details. Check the crop, area, map and linked records.
  2. Choose Edit to correct details or boundaries. This updates the existing field without creating a second one.
  3. To change the fields in a cycle, open cycle management and edit the assignments.
  4. Use Delete only when you intend to remove the field, and read the confirmation. Changes synchronise across devices using the same account.
04

Growing cycles

A cycle groups a growing season. A field can be used in successive cycles, while records stay linked to the period they concern.

On mobile

Create and activate a cycle

  1. From Home, open growing cycle management and select a new cycle.
  2. Give it a name that identifies the crop and period, such as ‘Olives 2026–2027’. Enter the crop details and start date requested by the form.
  3. Select the fields that belong to the cycle and save. Check the active cycle indicator.
  4. Before saving new activities, confirm they refer to the intended cycle. If you change the active cycle, check your next entries again.
Mobile & web

Edit, activate and close a cycle

Cycle management lists active, inactive and closed cycles. Edit an existing cycle to change its details and field assignments. Activate the cycle you are currently working in.

When the season ends, close the cycle. You can then review its summary, activity and note history, and PDF report.

Deleting a cycle is a different action from closing it. Deletion removes the cycle from the list, while existing activities and notes are not deleted. Prefer closing a cycle to keep your history organised.

EXAMPLE
The ‘Olives 2025–2026’ cycle has ended. Close it and create ‘Olives 2026–2027’ on mobile.

What to check: The previous season remains available for review, while new records are linked to the new cycle when it is selected.

Mobile & web

Review the season’s summary

  1. Open the summary of the cycle you want. For a closed cycle, expand its history details.
  2. Check total expenses, the number of activities and notes, and the expense breakdown.
  3. Review the activity and note lists. If only some entries are shown, use the option to view more records.
  4. If an activity is missing from the season, check its cycle assignment and date in the activity details.
05

Voice recording, step by step

Your voice fills in the text. FarmerPad organises that text into a preview, and you check what will be saved.

Recording a FarmerPad activity by voice in English
Voice recording · check the text before continuing
On mobile

From dictation to saving

  1. Tap + and choose the correct type, such as Activity. Tap the microphone inside the form.
  2. Allow microphone and speech recognition access when asked. Speak clearly in a quiet place, using the field name exactly as you saved it.
  3. Say what happened, when, in which field, with whom and at what cost. Stop dictation and read the text. You can correct any word by typing.
  4. Tap Continue to review. Allow AI processing when asked if you want to use this feature.
  5. Check the fields, cycle, activity type, date, workers, time, amounts and payment status. Tap Activity category to choose another category and subcategory before saving. You can also change the expense category and other available fields.
  6. Tap Save and wait for confirmation. Then open the entry in Activities for a final check.
EXAMPLE
Today I irrigated the North olive grove from eight to ten in the morning. I paid 25 euros for irrigation.

What to check: Check that irrigation was recognised for the correct field, with today’s date, times of 08:00–10:00 and a paid expense of €25. Correct any differences before saving.

On mobile

How to give clear information

Include the full field name, amount and unit. ‘I put in twenty’ is unclear; ‘I used 20 kilograms of the fertiliser from inventory in the North olive grove’ gives clear context.

For earlier work, give a specific date. For expenses, say whether they were paid or are owed, and to whom. For times, specify morning or afternoon where needed.

The same form accepts typed text. You do not need to use the microphone for FarmerPad to organise an entry from your text.

EXAMPLE
On 7 October 2026, Nikos pruned the Lower field from 08:00 to 13:00. His fee was 80 euros and is still owed to Nikos.

What to check: The preview should show pruning, the specific field and worker, the correct date, 300 minutes of work and an unpaid expense of €80.

On mobile

Several records from one text

  1. Describe activities in separate, clear sentences. Avoid linking different amounts in an unclear way.
  2. During review, read each recognised entry separately. Check how many entries there are and which activity each amount belongs to.
  3. Remove unwanted entries from the preview, or use Back to change the original text. Save after checking every entry.
EXAMPLE
Today I irrigated the North olive grove for two hours. Yesterday I bought fuel for 40 euros and paid for it.

What to check: Check whether two separate entries were created: irrigation with today’s date and a fuel purchase with yesterday’s date. The amount should not be added to both.

06

Tasks and activities

Record irrigation, fertilisation, crop protection, harvesting, pruning, sowing and other tasks, including time, assignments and financial details.

FarmerPad activity list in English with sample tasks
Activities · search and filters
On mobile

What to check in the preview

  1. Check the recognised activity category and subcategory. Tap Activity category, search for or select the correct category, then its subcategory where available. Change each preview entry separately. If you change the activity type, recheck any fertilisation and inventory use details. The activity category is different from the expense category.
  2. Enter a description and the correct date. Check the cycle and select all fields involved in this activity.
  3. Assign workers if applicable. You can leave an activity without a worker if it does not involve anyone in your list.
  4. Add a start time, end time or duration in minutes. Check the duration calculated from the times.
  5. Where there are financial details, check the amount, expense category, payment and payee. For a sale, check the income field.
On mobile

Harvesting with workers: an example

If the workers are not recognised correctly, select them in the assignments. If they are not in your list yet, add them through Resources → Workers and check the entry.

EXAMPLE
On 8 October 2026, we harvested the North olive grove with Nikos and Maria from 08:00 to 14:00. The total labour cost was 160 euros, paid.

What to check: Check the harvesting category, field, two workers, duration of 360 minutes and total expense of €160. The total should not become €160 for each worker.

Mobile & web

View, edit and delete an activity

  1. Open Activities and select the task. Review its description, date, fields, workers, time, amounts and any fertilisation details.
  2. Tap Edit when a correction is needed. Change the relevant details and save the existing record.
  3. After saving, check the details again. Refresh the other device to see the change.
  4. For an incorrect or duplicate entry, select Delete and check the confirmation. Removal also affects other devices using the same account.
On mobile

Future activities and confirming completion

An activity described as happening in the future may appear as scheduled. Carefully check its date, time and status in the preview and calendar.

When the work is done, open the scheduled entry and use the completion confirmation. Check the actual work details before completing the action.

EXAMPLE
Tomorrow at nine in the morning I will irrigate the North olive grove.

What to check: Check that the date is tomorrow and the entry is scheduled. Irrigation is recorded as completed when you confirm it took place.

08

Expenses and splitting costs across fields

An expense amount describes the record’s total cost. Its category shows what was purchased or paid for, while payment status shows whether a debt remains.

On mobile

Record an expense

  1. Tap + → Activity and describe the purchase or expense. An expense does not have to involve a farming task.
  2. In the preview, enter the total amount and choose the appropriate expense category and subcategory.
  3. Select a cycle and field if the expense concerns them. For a general expense, leave the field assignment empty.
  4. Set Paid if it has been settled, or Debt if it is outstanding. For a debt, enter the payee and check it is the correct person or supplier.
EXAMPLE
Today I bought fuel for farming work for 50 euros and paid for it.

What to check: Check an expense of €50, the fuel category and paid status. If it does not concern a specific field, keep the entry as a general expense.

On mobile

One shared expense for several fields

  1. Record the total expense once and select all the fields it concerns.
  2. Check the area-based expense split section. Each selected field needs a valid, positive area to split the new entry’s expense.
  3. Read the amounts per field before saving. Do not repeat the same total expense in a separate activity for each field.
EXAMPLE
A shared task cost €300. It concerns the North olive grove of 10 stremma and the Lower field of 20 stremma.

What to check: With an area-based split, €100 is assigned to the first field and €200 to the second. The total expense stays €300, without double charging.

Mobile & web

Distinguish tasks, purchases and payments

Fertilising a field is a task. Buying fertiliser is a supply purchase. Settling an already recorded debt is a repayment. These records describe different events.

If you recorded the cost when purchasing a product, do not add it again simply because you used the product. For use, record the actual quantity and only any separate additional cost, such as labour.

If you are settling a debt, use Debt repayment on mobile. Creating a new expense for the same amount would count the cost a second time.

09

Sales and income

Sales update revenue and the balance. Check that the amount is recorded as income and belongs to the correct cycle.

On mobile

Record a sale

  1. Choose + → Activity and clearly describe the product you sold and the total income.
  2. In the preview, check the Sales section and income field. Assign the cycle and field the sale concerns, where relevant.
  3. Save and find the entry in Activities using the Income view. In Statistics, check revenue and the balance for the same data range.
EXAMPLE
Today I sold 300 kilograms of olive oil from the North olive grove. The total income was 1,800 euros.

What to check: Check income of €1,800 on the correct date and in the right period. The 300 kilograms describe the sale; €1,800 is the amount that increases revenue.

Mobile & web

What revenue and balance mean

Revenue is the total recorded income for the selected range. The balance compares income and expenses within the same selection.

Before comparing two screens, check the cycle, field and filters. A whole-farm view and a view of a single field are not expected to show the same amounts.

EXAMPLE
In the same cycle, you have income of €1,800 and expenses of €1,200.

What to check: The balance is +€600. Check separately how much of the expenses has been paid and how much remains owed.

10

Debts, partial payments and settlement

Track whom you owe, which entries make up the balance and how much has already been paid.

Mobile & web

Find the outstanding balance

  1. In Statistics, review debts and their breakdown by payee. In Activities, limit the view to Debts or unpaid entries.
  2. Open the entry and read the total expense, paid amount, remaining balance, payee and last payment date, where available.
  3. Check whether the status is Paid, Debt or Partially paid. A partial payment reduces the balance without changing the original total cost.
On mobile

Record a repayment

  1. Tap + → Debt repayment. Select the payee from the suggestions or state their name clearly.
  2. Type or dictate the amount you paid and the date. If there are several debts, check the entries proposed for updating.
  3. In the preview, read the number of entries, total debt, payment amount and balance that will remain.
  4. Confirm the action. Then open Statistics or the relevant activities and check that payment status was updated.
EXAMPLE
Today I paid 50 euros towards the 120 euros I owe Nikos.

What to check: Check that €50 is being paid and €70 remains. The original expense stays €120 and the status becomes partially paid.

11

Storage and supply inventory

Organise fertilisers, crop protection products, seeds and planting material. Recorded purchases and uses update quantities when linked to the correct product.

On mobile

Add a product and opening stock

  1. Open Resources → Inventory and choose Add product. Select the correct category.
  2. Enter its name and unit: kg, g, L, ml or pieces, depending on the product. Choose the unit you will use to track stock.
  3. Enter an opening quantity only for what you already have in storage. Add the company, composition and available technical details.
  4. Where needed, keep its batch, expiry date, storage location, approval number, crop, variety or notes.
  5. Save and check the quantity on the product card. Use a whole number for pieces; other quantities accept up to three decimal places.
EXAMPLE
You already have 50 kg of 20-20-20 fertiliser. Create the product with unit kg and opening stock of 50.

What to check: Inventory starts with 50 kg. Opening stock is not a new purchase that needs to be charged to expenses again.

On mobile

Buy supplies and increase stock

  1. Create an Activity and describe the purchase, quantity, product and total cost.
  2. During review, link the purchase to the correct inventory product and check that the movement is Purchase. For a new fertiliser, check the product details proposed for creation.
  3. Confirm the unit, quantity, cost, cycle and payment or debt to the supplier.
  4. Save and open inventory to check the new available balance. Also check that the cost was recorded once.
EXAMPLE
I bought 100 kilograms of the 20-20-20 fertiliser in inventory for a total of 80 euros, paid.

What to check: If previous stock was 50 kg, expect 150 kg after the confirmed purchase, and one expense of €80.

On mobile

Use a product in a field

  1. Record the task that used the supply, such as fertilisation, crop protection or sowing.
  2. In the preview, select an existing product and the Use movement. Enter the total quantity being removed from inventory.
  3. Check the field, cycle and unit. The quantity used must be positive and compatible with available stock.
  4. Save and check the product’s balance. If you already recorded its purchase cost, do not repeat it as a new cost for the same supply.
EXAMPLE
I used 20 kilograms of 20-20-20 fertiliser in the North olive grove.

What to check: With 150 kg initially available, the linked use leaves 130 kg. The cost of the earlier purchase is not added again.

Mobile & web

Search, correct quantities and archive

Search for a product by name, company, composition, variety or batch, and filter the list by category. Check its expiry date and storage location when shown on the card.

Open Edit to correct details or the actual available quantity after a stocktake. A quantity correction does not itself record a new purchase, and earlier purchases and uses remain in the history.

On the web, you can view and edit existing products. Archiving, where offered, is for products with zero stock. Create products and record new movements on mobile.

12

Fertilisation and application details

Record the trade name, company, composition and dose. Distinguish the dose per stremma from the total quantity removed from inventory.

On mobile

Check fertilisation details

  1. Create an Activity with a clear description of the fertilisation and select the fields it concerns.
  2. In the fertilisation section, select a product from inventory or use the available trade name, company and composition options.
  3. Check the dose and its specific unit: kg/stremma, L/stremma, g/stremma or ml/stremma. The dose unit is explicitly labelled and does not change when you select a different area unit in your profile.
  4. If you link inventory use, also check the total product quantity. Enter time, workers and any additional expense, then save.
EXAMPLE
Fertiliser was applied to 10 stremma at a dose of 2 kg/stremma. The total product quantity was 20 kg.

What to check: Check 2 kg/stremma in the dose and 20 kg in inventory use. The value 2 is not the total quantity used.

Mobile & web

Find previous applications

  1. In Activities, select the field, cycle and Fertilisation category.
  2. Open an application and review the recorded fertiliser details and dose.
  3. Compare dates and descriptions, or ask the AI assistant about fertilisation history using the same data range.
13

Workers and work history

The optional worker directory helps with assignments, contacts, activity searches and debt tracking.

On mobile

Add a worker or collaborator

  1. Open Resources → Workers and tap Add worker.
  2. Enter their full name. Optionally add a role, phone number and notes.
  3. Save and use the same person in activity assignments. A clear name helps link voice entries correctly.
EXAMPLE
Name: Nikos Papadopoulos. Role: Harvest worker. Note: Available in the mornings.

What to check: Nikos is available in worker selections. Simply adding him to the directory does not create an activity, expense or debt.

Mobile & web

Contacts, editing and linked activities

  1. Search for the person in the list. On mobile, use the available role filters for workers, collaborators or others.
  2. Open their history for linked activities. You can also use a worker filter in Activities.
  3. Edit details that have changed. On mobile, where a valid phone number is available, the call button opens your phone app.
  4. For money owed to the person, check Statistics and the relevant unpaid activities. Record settlement through Debt repayment on mobile.
14

Notes and reminders

Keep observations without presenting them as completed tasks. Add a notification when you need to remember something on a specific date.

On mobile

Create a note

  1. Tap + → Note and type or dictate your observation.
  2. Tap Continue to review. Check the title, description, field and cycle. Add comma-separated tags if they help you organise notes.
  3. If the text creates several notes, check each separately. Save when they are correct.
  4. Find the entry in the Activities calendar or in the linked cycle’s summary.
EXAMPLE
In the North olive grove, I noticed low pressure in the last section of the irrigation network.

What to check: An observation linked to the field is saved. It should not appear as a completed repair if no repair took place.

On mobile

Create a reminder with a date and time

  1. Tap + → Reminder. Describe what you want to remember and when.
  2. Check the date and time suggested by the app. For expressions such as ‘tomorrow morning’, confirm the exact result before saving.
  3. Check the description, field and cycle where offered. Allow notifications when asked.
  4. After saving, find the reminder on the relevant calendar day. Home may show your next reminder.
EXAMPLE
Remind me tomorrow at 09:00 to check pressure in the North olive grove’s irrigation network.

What to check: Check tomorrow’s date, 09:00 and the correct field. The reminder does not mean the check has already been done.

On mobile

Check notifications and make changes

Open the entry from the calendar to review or change the note and reminder date. Use the available edit action instead of keeping two identical reminders.

Saving a reminder and granting device notification permission are different things. If you did not receive a notification, check Device settings → FarmerPad → Notifications and the correct date and time.

Receiving a notification does not confirm a task’s completion. If you did the work, record the activity or complete its scheduled entry.

15

Field weather and cycle history

Conditions are linked to a field’s location. Check the forecast, history and data coverage before interpreting the indicators.

Mobile & web

Current conditions and forecast

  1. On mobile, open the Home weather card or the fields’ weather section. On the web, select Weather in the menu.
  2. Select the field you need. For a field without a location, add boundaries on the map to provide a position for weather data.
  3. Check temperature, rain, wind and the other conditions displayed. Read the forecast’s date and time as well as the icon.
  4. If a forecast does not load, refresh later and check your connection. Missing weather does not mean the field was deleted.
Mobile & web

Weather statistics for a cycle

  1. Open the field’s weather and the growing cycle section. Select the appropriate linked cycle.
  2. Review the period covered by the history and the number of complete days and stored hours.
  3. Read the available charts and details, such as temperatures, rainfall, rainy days and hot days.
  4. If data is still being imported, wait for the update. For an inactive or completed cycle without stored history, a new import may not be allowed.
Mobile & web

Crop indicators and warnings

Where crop indicators are shown, read their name, unit, period and available data. Different indicators describe different growing conditions.

When saving certain activities, warnings may appear for wind, rain, thunderstorms, heat or frost. Read which field and date they concern.

  1. If a warning reveals an incorrect date or field, return to review and correct the entry.
  2. If you are recording work that actually took place, confirm the details reflect the event before choosing to continue.
16

Statistics and your financial overview

Review expenses, revenue, balance, paid amounts, debts and cost per area. The figures depend on your records and the selected range.

Mobile & web

Read the key figures

  1. Open Statistics and select the cycle or overall view you need. Check any field filter.
  2. Review Total expenses, Revenue and Balance. Read paid expenses and debts separately.
  3. Check cost per area unit. Correctly recorded areas are needed for a useful comparison.
  4. Where cards are interactive, tap total expenses, paid expenses or debts to see the corresponding activities.
EXAMPLE
Expenses of €1,200, including €900 paid and €300 owed. Income of €1,800.

What to check: Revenue is €1,800 and the balance is +€600. At the same time, €300 remains to be paid. The debt is part of expenses, not an additional new expense.

Mobile & web

Charts and category breakdowns

Expenses over time show how spending is distributed by month. The expense breakdown shows categories and, where available, their subcategories.

The field breakdown shows which plots are linked to the cost. General expenses appear separately when no field is assigned.

On mobile, tap a payee, category, subcategory or field where offered to open the corresponding records. This lets you check what makes up a total.

17

PDF reports and sharing

A report brings together the data for a specific growing cycle so you can keep or share it.

Mobile & web

Download and save a PDF

  1. Open cycle management and find the period you want. Check the summary first to make sure you selected the correct cycle.
  2. Choose Download PDF and wait for the file to be generated and downloaded. An internet connection is required.
  3. On the web, check your browser’s downloads. On Android, choose a folder when asked. On iPhone, use the available save options, such as Save to Files.
  4. Open the PDF and check the cycle name, period and entries. If you correct data in the app, download a new report for the updated view.
On mobile

Share from your phone

  1. In the cycle, choose Share PDF.
  2. Wait for the download and choose an app or recipient from your device’s share menu.
  3. Check the file and recipient before sending it. You can choose to save it instead if that suits you.
EXAMPLE
You want to send your collaborator the summary of the ‘Olives 2026–2027’ season.

What to check: Open that cycle, choose Share PDF and send the file using your preferred app on the device.

18

AI assistant, questions and photos

Ask about the data you have recorded, choose the scope of the answer and continue a conversation with follow-up questions.

Mobile & web

Ask a question with the right data range

  1. On mobile, open the AI assistant tab. On the web, open the assistant using the question field in the top bar.
  2. Select a cycle, field and period where offered. Mobile options include the current cycle, last 7 days, month, all history and custom dates.
  3. Type a specific question or dictate it on mobile. Include the field name and date range when they affect the result.
  4. Send the question and read the answer along with its stated scope and data basis. Continue with a follow-up question in the same conversation.
EXAMPLE
How much have I spent on the North olive grove in the Olives 2026–2027 cycle, and what are the three largest categories?

What to check: Select the same cycle and field for the answer’s scope. Compare the result with Statistics using the same selections.

Mobile & web

Example questions

‘When was the North olive grove last fertilised, and which product was recorded?’ — check that your range includes the period you want to search.

‘What debts are still owed to Nikos?’ — compare the answer with the breakdown by payee.

‘What work was done in the Lower field in September?’ — select that field and the specific period.

‘Compare the expenses of the two fields in the same cycle.’ — use a scope that includes both fields.

On mobile

Ask about a photo of a leaf or plant

  1. In the assistant, choose to add a photo from your camera or gallery. Allow the relevant access when asked.
  2. Choose a clear, well-lit photo and check its preview. If it is not the right one, remove it and choose another.
  3. Add text with the crop, field, what you have observed and when it started. The image alone may not explain the situation.
  4. Send the question and read the observations and any uncertainties in the answer. Continue with additional information if needed.
EXAMPLE
I noticed these marks on leaves of an olive tree in the North olive grove three days ago. What is visible in the photo, and what further information is needed?

What to check: The assistant uses the image and text to answer. The answer does not automatically save an application or treatment in your activity history.

Mobile & web

Conversation history and saving answers

  1. Open Conversation history and use search to find an earlier discussion.
  2. Select a conversation to read previous questions and answers and continue it. For a different topic, open New conversation.
  3. On mobile, where Save answer is offered, keep the answer as a note with its relevant context and assignments.

Profile, preferences and privacy

Change personal details, language and displayed units. Manage AI consent and access to your account.

Mobile & web

Personal details

  1. On mobile, tap the profile icon on Home. On the web, open your profile using your name or avatar.
  2. Choose Edit and change the details you are allowed to update. If your current password is required to change your email, enter it.
  3. Save and follow any instructions to sign in again or verify your email. For a Google or Apple account, use the corresponding sign-in method.
On mobile

Language, area and currency

In your profile, you can change the language, area unit and displayed currency. The same choices also appear during initial setup.

Area can be displayed in stremma, hectares or acres. One stremma is 1,000 m²; for example, 1.5 hectares equals 15 stremma. Always check the current unit before entering an area.

EUR, USD and GBP options change currency labels. They do not convert exchange rates or change the value of amounts already saved.

These preferences are saved on the device. You may need to choose them separately on another device, and they do not necessarily change the units or wording in a PDF report.

EXAMPLE
An entry has an amount of 100. You change the label from EUR to USD.

What to check: The same numerical amount is displayed with the selected label. The app does not calculate how many dollars equal 100 euros.

On mobile

AI consent and privacy policy

Before using AI features, the app asks for permission to send text, selected photos and relevant farm data to OpenAI. This context may include locations, activities, finances and worker details.

Read the explanation before choosing. In Profile → Privacy and account, you can open the privacy policy and use Reset AI consent to change your choice.

Consent is saved on the device. Changing it affects the use of AI features and does not itself delete your farm records.

Recover access, sign out and delete an account

  1. If you forgot your password, choose Forgot password on the sign-in screen. Request a reset email and follow its link to set a new password.
  2. For Apple or Google accounts, use the same sign-in option. If you cannot sign in, contact support.
  3. Use Sign out to end your session on the device. Signing out does not delete your account.
  4. To delete an account on mobile, open Profile → Privacy and account → Delete account and read the confirmations. The web also has a public help page at /delete-account/.

Mobile and web: where to do what

Use your phone to record work in the field and your computer to review and manage it. Farm data is linked to the same account.

On the web

Manage records in your browser

  1. Sign in at /app/ using the same account as on mobile and choose a language in the top bar.
  2. Use Overview and Activities to review synchronised data. Edit or delete existing records using their actions.
  3. Open Fields, Workers, Inventory and Cycles to review and edit existing details. Check Weather, Statistics and PDF reports.
  4. Use the assistant for questions and previous conversations. Return to the mobile app to create a new farm record.
Mobile & web

Synchronisation and internet access

Synchronisation happens through your account. Wait for save confirmation on the device where you made the change, then refresh the other device.

Reviewing and saving through +, AI questions, PDF downloads and loading weather require an internet connection. If the connection is lost, text may remain in the form for another attempt while the form stays open. Do not assume it was saved without confirmation.

If a pending local records section appears, read the message and use Retry sync when connected. This indicator does not mean every feature can be used offline.

Availability of Planning and automatic plans

In the current version, the separate Planning tab and automatic growing plan creation are disabled. You will not find an active button for creating these plans.

You can use the calendar inside Activities on mobile, create notes and reminders through + and view existing entries. Growing cycle management remains available.

Missing buttons do not mean your earlier data was lost. Creating a cycle, recording an activity and generating an automatic plan are different features.

From purchase to final review

  1. On Home, check that the ‘Olives 2026–2027’ cycle is active. The North olive grove measures 10 stremma and belongs to this cycle.
  2. You already have a 20-20-20 product with 50 kg in inventory. Through + → Activity, record a purchase of 100 kg costing €80, paid. Check the Purchase movement; stock becomes 150 kg.
  3. Record fertilisation in the North olive grove with Nikos, from 08:00 to 10:00. Check a dose of 2 kg/stremma, total use of 20 kg and the Use movement for the same product. Stock becomes 130 kg.
  4. Nikos’s fee is €60 and has not been paid. Record it as a labour expense and a debt to Nikos. Do not charge the €80 fertiliser purchase again in the fertilisation activity.
  5. Through + → Note, keep an observation about the irrigation network. Through + → Reminder, ask to check it tomorrow at 09:00.
  6. Later, you pay Nikos €20. In Debt repayment, check the payment and remaining balance of €40 before confirming.
  7. In Statistics, these entries have expenses of €140: a purchase of €80 and labour of €60. Paid amounts are €100 and debts are €40. Product stock is 130 kg.
  8. On your computer, refresh the records, check the activity and cycle summary, and download the PDF report when you want to keep a view of the season.

Common problems and solutions

First check the app’s message, connection and filters. Below are practical steps for the most common situations.

On mobile

The microphone does not work or text is incorrect

  1. In device settings, check that FarmerPad has microphone and speech recognition permission. Confirm the selected language matches the language you are speaking.
  2. Stop dictation, move closer to the microphone and try in a quieter place. Use the field’s exact saved name.
  3. If recognition is unsupported on your device or browser, continue by typing. If the text contains errors, correct them before continuing to review.
On mobile

Review or saving will not proceed

  1. Read the form’s message and check your connection. Processing requires an available service and completed AI consent when requested.
  2. If no activity was recognised, add a clear action, field and date. Check for missing required details, positive quantities or areas needed for expense splitting.
  3. Wait for the previous attempt to finish before tapping again. If a weather warning appears, respond to that warning.
  4. If it fails, keep the text and try again when the connection is restored. Check Activities before repeating the whole entry to avoid duplicates.
Mobile & web

An entry is missing or totals differ

  1. Check that you are using the same account and sign-in method on your devices.
  2. Clear search and filters. Check the cycle, field, dates, entry type and payment status.
  3. Go to the next list page or the correct calendar month. Refresh the data.
  4. For different financial totals, check income and expenses, shared expenses, general costs and whether the comparison uses the same range.
Mobile & web

Stock is different from what I expected

  1. Check the product and unit. See whether you selected a different product with a similar name or entered a quantity in g instead of kg.
  2. Open the relevant activities and check whether they were linked as Purchase or Use and saved successfully.
  3. Check opening stock, duplicate purchases and manual corrections. Mentioning a product in the text is not enough without the correct link in the preview.
  4. If you completed a physical stocktake and need a correction, edit the available quantity and check the result. Do not create a fictitious purchase just to change the balance.
Mobile & web

The PDF is slow or will not save

  1. Check your connection and selected cycle. Wait for the attempt to finish or a failure message to appear.
  2. Try again. On Android, choose an available folder; on iPhone, check the save menu; in your browser, check downloads.
  3. If the problem continues, keep the exact message and cycle name for support.
