Privacy Policy

FarmerPad uses your information to save farm records, send reminders, create reports and give you access to your account. It also uses relevant information when you choose an AI feature.

Information we collect and use

• Account information: your name, username, email address, a protected version of your password (a password hash), time zone, sign-in identifiers, subscription status and information about signed-in sessions.
• Farm records: fields, boundaries, crops, growing seasons, activities, notes, reminders, expenses, payment status and the names of people or businesses you pay.
• Technical logs: limited information needed to keep the service secure and reliable.

How we use information

We use this information to sign you in, save your records and keep them up to date across devices. We also use it to calculate statistics, send reminders and account emails, prevent abuse, fix problems and answer support requests.

We do not sell personal data.

AI features

When you use an AI feature, we may send your text, selected photos and a limited set of relevant farm records to OpenAI. This helps organize your records or answer your question. Relevant records may include field locations, activities, expenses, payee names and worker details. General farming questions are sent without your farm profile.

The iOS app asks for permission before sharing this data. You can withdraw permission in Profile → Privacy and account. This stops future AI requests but cannot recall data already processed.

Our AI monitoring is set up not to record the contents of your requests or responses. Do not send information you do not want the AI provider to process.

Photos, dictation and reminders

When you choose a leaf photo for assessment, the app uses your camera or device photo picker. It reduces the image file size before sending it.

Voice entry uses your device's speech-recognition service. Depending on your settings, audio may be processed on the device or through Apple or Google. The resulting text is sent only when you choose to send it.

You can type instead, decline camera or microphone access, and change notification permissions in your device settings.

Service providers

FarmerPad uses the following service providers:

• Hosting and database providers to run the service and store records.
• OpenAI for optional AI features.
• Langfuse to monitor AI operations, with request and response content recording disabled.
• Mailjet to deliver emails.
• Apple and Google for optional sign-in.

We store Apple sign-in authorization tokens encrypted on our server so we can revoke access when you delete your account. These providers process data under their own security and data-processing terms and may operate in other countries.

How long we keep your data

We keep your active account information and farm records while you use the service. We keep security logs and details of failed background tasks only as long as needed for security and operations.

Deleting your account removes its farm records and signs you out of active sessions. We may keep limited identity or audit information when needed to prevent abuse or meet legal obligations.

Your choices and rights

You can update your profile in FarmerPad and delete your account in the mobile app. If you cannot access the app, use our account deletion page to request deletion.

Depending on where you live, you may also request access, correction, portability, restriction, objection, or deletion. You may withdraw consent where consent is the legal basis for processing.

Security

We use encrypted transport, password hashing, access controls, short-lived authentication tokens, encrypted mobile credential storage, and restricted production access. No system is completely secure, so report suspected account misuse promptly.

Children

FarmerPad is not directed to children under 16, and we do not knowingly collect their personal data.
